EXECUTIVE ASSISTANT

Applications are invited for the above-indicated vacancy that exists in Clayville Gauteng. The incumbent will report to the Factory Manager.

Purpose:

To ensure efficient and effective support to the Factory Manager.

Specific Outcomes / Accountability:

· Complete secretarial function;

· Diary management;

· Co-ordinate domestic and international travel and accommodation, obtaining visas and forex.

· Screening calls and action as appropriate;

· Scheduling meetings locally and internationally;

· Preparing agendas, taking minutes of meetings & distribution of same;

· Scheduling local and international teleconference calls and video conference meetings;

· Research elements as required by strategy team;

· Ensure all office stationary requirements are met;

· Managing contacts list and updating regularly;

· Faxing / photocopying / scanning of documents;

· Maintenance of an effective and efficient paper and electronic filing system;

· Handling and responding to correspondence when the Executive is not available;

· Creating and editing of advanced versions of PowerPoint presentations;

· Able to follow already established in-house work procedures and to identify and implement new procedures to improve efficiencies;

· External meetings - catering, venue requirements, airport transfers etc;

· Notarisation & legalisation of documents.

Educational Qualifications & Experience:

· Matric / Grade 12;

· Secretarial or professional PA qualification.

· PowerPoint Presentations

Work Experience:

· Proven track record as a senior executive assistant (5 years experience in similar function);

· Support experience in a professional services, research, marketing and sales environment

· Experience successfully creating and/or modifying processes
